Project Facts
- A large background check provider manually created, distributed, and archived multiple types of letters, forms, and compliance documents.
- The client wanted to outsource and automate the process to reduce internal dependencies and the complexity of recurring document changes.
- Dove was tasked with designing the end-to-end document lifecycle management solution.
- Tracking, returns processing, and reporting were core requirements for FCRA compliance.
What We Delivered
- Dove analysts and developers partnered directly with client product managers to model the document and compliance workflow.
- A custom solution built on Dove’s document composition platform now manages each document from composition through archival — letters, compliance forms, background reports, and more.
- The client consolidated print and mail onto a single vendor, eliminating coordination overhead between previous suppliers and reducing audit surface area.
- Cost and operational risk both came down with the consolidation; change control on documents is now centralized.
Why it matters
FCRA isn’t a checkbox — it’s a lifecycle.
Pre-adverse and adverse action notices, summary-of-rights inserts, dispute correspondence, and retained evidence all carry statutory timing and content requirements. The risk surface lives between vendors: who composed it, who printed it, who mailed it, who archived it, and who can produce it under audit.
Collapsing 73 documents onto one platform means a single source of truth for content, change control, and evidence — and one phone number when something needs to move fast.
Outsource the lifecycle, not the liability.
If your compliance team is rebuilding the same letter packs every quarter — or stitching together vendors on every audit — there’s a better operating model.
