How to get your files to us — securely, and the right way for the kind of data you're sending.
Dove Direct handles regulated, high-volume communications for organizations where data protection is non-negotiable. How you send us a file depends on what's in it. The rule is simple:
Sensitive and regulated data travels only over an encrypted VPN + SFTP channel. Non-sensitive artwork and design files may be sent by email, our web portal, or a file-transfer link.
Sensitive & Regulated Data
Encrypted VPN + SFTP only
Any file containing personal, financial, health, or otherwise regulated information must be transmitted over a dedicated, encrypted VPN + SFTP connection. This includes data subject to:
- Personal information / PII
- Protected health information (HIPAA)
- Financial account data (GLBA)
- Federal tax information (IRS Pub 1075)
- Consumer report data (FCRA)
We provision a dedicated VPN + SFTP account for your organization. Credentials are issued to you through a secure channel — never published, emailed in the clear, or shared by phone.

Non-Sensitive Artwork & Design Files
Email, web portal, or file-transfer link
Print-ready art, proofs, fonts, and other files that contain no personal or regulated data can be sent by any of the following:
1. Web portal
Upload through our secure web portal: ftp.dovemailing.com. Ask your account manager for access.
2. Email
Email it to your Dove Direct account manager. Compress (.zip) and keep attachments under ~10 MB.
3. File-transfer link
Share a Dropbox, OneDrive, Google Drive, or WeTransfer link with your Dove Direct account manager.
Never transmit sensitive or regulated data by email, the web portal, or a public file-sharing link. Inbound email and web-portal uploads are scanned by our data-loss-prevention (DLP) controls — anything containing sensitive or regulated data sent through those channels is automatically rejected. If you're unsure whether a file qualifies, treat it as sensitive and use VPN + SFTP, or ask your account manager first.
Preparing Print-Ready Art
Following these specs keeps your job moving and protects color and layout integrity through production.
- Format: press-ready PDF (PDF/X-1a:2001 preferred); native files accepted on request
- Color: CMYK (convert RGB and spot colors unless a spot is specified)
- Resolution: 300 dpi at final size for raster images
- Bleed: 0.125" (1/8") on all sides, with crop marks
- Fonts: embedded or converted to outlines
- Safe margin: keep live text/elements 0.125" inside the trim
